Open and save Excel files in Sage 50 Hosted
Introduction
Use these steps to open an existing Excel Report from your computer or an old virtual machine (VM) in Sage 50 Hosted, or save a copy back to your computer.
This guide is for Windows users of Sage 50 US Hosted, with Excel and Logicim XLGL already available in the hosted workspace.
Before you start
Find the original file and note its exact name, file type and folder. Keep the original while you move a copy.
Each environment has its own folders. Downloads on your computer, Downloads in the old VM and Downloads in Sage 50 Hosted are different locations. In a remote session, your computer's drive may appear as C on [your computer name]. The label can vary.
Open a file from your computer in Sage 50 Hosted
Step 1: Open Excel from the same Windows App workspace you use for Sage 50 Hosted.
Step 2: In that Excel window, select File > Open > Browse.
Step 3: Select This PC > C on [your computer name] > Users > [your Windows username], then open the folder where you saved the file, such as Downloads or Documents. Follow the actual saved location if your folders are under OneDrive.
Step 4: Set the file type filter to All Excel Files or All Files. Select the workbook and click Open. If you know the exact name, type it in File name to avoid a long search.
You are opening the file on your computer through the remote session. This does not automatically create a separate hosted copy or connect the Report to your Sage company. Use the hosted setup guide in References if you need help with the connection.
Move a file from an old VM to Sage 50 Hosted
Step 1: In the old VM, open the original workbook in Excel. Select File > Save As > Browse.
Step 2: Under This PC, open your computer's redirected drive, then Users > [your Windows username] > Downloads.
Step 3: Save a separate copy. Keep the original Excel file type, including .xlsb if it is an Excel Binary Workbook.
Step 4: On your own computer, open File Explorer and confirm the copy is in Downloads. Then follow the steps above to open it in hosted Excel.
Save a file from Sage 50 Hosted to your computer
Step 1: In hosted Excel, select File > Save As > Browse.
Step 2: Open This PC > C on [your computer name] > Users > [your Windows username], then choose your destination folder.
Step 3: Keep the original Excel file type. Use a new name if you want to keep both copies, then click Save.
Step 4: On your own computer, check the destination in File Explorer. Confirm the file name and open the saved copy to check it.
If you get stuck
The folder is empty or the file is missing
Check which environment you are browsing. Use the drive with your computer's name, the exact saved folder and the correct file type filter. Avoid searching the whole redirected drive.
The window says Open with or shows Programs
Cancel it. Open the workbook from inside hosted Excel using File > Open > Browse.
You need administrator permission, or your computer's drive is missing
Save in your own Downloads or Documents folder, rather than the C drive root. If that folder is still blocked, or the drive is missing, ask the hosting provider to check your permitted drive access.
The workbook is locked for editing
Save and close it in the other Excel session. If you only need a copy, choose Read Only, then Save As with a new name. Do not select a temporary file whose name starts with ~$.
Excel is waiting for a mail client
Press Esc to cancel. Use File > Save As > Browse to save the copy.
