Vendor Purchase and Outstanding

Vendor Purchase and Outstanding is a report that summarizes purchases and outstanding balances by vendor for a selected period. It helps users monitor vendor spending, track unpaid amounts, and identify vendors with the highest outstanding payables.

Prerequisites

  1. Microsoft Windows 10 Pro, Windows 11 Pro, or Windows terminal server (2012 and above)
  2. Microsoft Office 365
  3. Sage 50 US edition (2021 and above) 
  4. Internet connection

What the Report Does

This report provides a consolidated view of vendor information and financial activity, including vendor details such as name, contact person, address, location, and contact information, along with key metrics like vendor status, balance, total purchase amount, and year-to-date purchases. It also presents a summary of vendor performance by showing the Vendor Purchase Amount and Outstanding Balances Overview, as well as rankings of the Top 10 Vendors by Purchase Amount and Top 10 Vendors by Balance to help users quickly analyze purchasing trends and outstanding obligations.

How to Use the Report

1) Enter the starting and end dates in C9.

2) Click Refresh on the XLGL ribbon.

3) Review the result:

b) Chart

Customization Options

  1. Adjust the desired year in the Parameters sheet to generate data for a different period. 
  2. You may customize the Pivot Chart by selecting PivotChart Analyse > Field List.

  1. Monitor vendor purchases and spending trends
  2.  Track outstanding vendor balances for payables management
  3. Identify top vendors by purchase amount and balance

Troubleshooting

  1. Issue: No data is populated.
  2. Solution: Verify that the input parameters are correct and that the selected date range contains existing records.
