Purchase Analysis

Purchase Analysis report is a dashboard that summarizes purchasing activity by vendor and item, showing quantities and total amounts spent over a selected time period.

Prerequisites

  1. Microsoft Windows 10 Pro, Windows 11 Pro, or Windows Terminal Server (2012 and above)
  2. Microsoft Office 365
  3. Sage 50 US edition (2014 and above)
  4. Internet connection

What the Report Does

This report is used to analyze purchasing activity by showing what items were bought, from which vendors, in what quantities, and the total amount spent over a specific time period. It helps businesses understand where their money is going, compare spending across different suppliers, and identify which products are being purchased the most. By organizing purchase data in this way, it supports better budgeting, cost control, and decision-making for future buying and supplier management.

How to Use the Report

1) In the Instruction tab, there is a yellow-highlighted cell where you should enter the start/end date.

2) Click Refresh in the XLGL Ribbon.

3) Review the result:

Customization Options

  1. You may modify the Pivot table to add, modify, or delete a column.

Common Use Cases

  1. Sales & product insights: Identify best-selling products, buying trends, and item combinations to improve pricing, promotions, and recommendations.
  2. Customer behavior analysis: Segment customers based on purchase history to enable targeting, personalization, and loyalty programs.
  3. Operations & risk control: Improve inventory forecasting, reduce stock issues, optimize procurement, and detect unusual or fraudulent transactions.

Troubleshooting

  1. Issue: No data is populated.
  2. Solution: Verify that the input parameters are correct. You may validate in Sage 50 if the customer and reference number is expected to have no value.

FAQs

  1. Q: Can I select a specific vendor ID or name?
  2. A: Yes, by simply selecting the auto filter in the header of the Pivot Table. You may select which Vendor ID – name you want to show.

Best Practices

  1. Save a backup copy of the Report before making significant changes.
  2. Regularly review the report to track progress and identify trends early.
  3. Customize the report to focus on key performance indicators relevant to your business.
