Purchase Journal

Purchase Journal is a report that lists purchase transactions recorded during a selected period, including details such as vendors, invoice numbers, dates, and amounts. It helps users review purchasing activity, track expenses, and verify accounts payable entries.

Prerequisites

  1. Microsoft Windows 10 Pro, Windows 11 Pro, or Windows terminal server (2012 and above)
  2. Microsoft Office 365
  3. Sage 50 US edition (2021 and above) 
  4. Internet connection

What the Report Does

This report provides a detailed breakdown of purchase transactions by account, showing invoice and credit memo activity along with the corresponding debit and credit entries. It helps users analyze how purchases are distributed across accounts, review accounting postings, and identify the accounts with the highest debit and credit amounts through summary charts.

How to Use the Report

Step 1) Enter the starting and end dates in C9 and C10.

Step 2) Click Refresh on the XLGL ribbon.

Step 3) Review the result:

a) Report

b) Chart

Customization Options

  1. Adjust the desired year in the Parameters sheet to generate data for a different period. 
  2. Select the column and row you want to filter by clicking the Autofilter

Common Use Cases

  1. Track and review vendor invoices and credit notes for a selected period.
  2. Monitor purchasing activity and vendor-level total spending.
  3. Analyze invoice trends and identify vendors with the highest invoice volume and amounts.

Troubleshooting

  1. Issue: No data is populated.
  2. Solution: Verify that the input parameters are correct and that the selected date range contains existing records.
